The year (and moreover the exact date) should be present in the images' Exif
headers. If those are scanned images, you could/should write the creatation
date to an Exif header. This way, this information is stored inside each file,
independently of the program you use to organize youor photos.
About the notes, it's about in which way this information is stored. KPA uses
a plain XML file to save all data. So you could possibly mess with it directly
via some script to insert your information ... but this heavily depends on how
your metadata is stored at the moment.
